Event & Contract Administration
Manage booking enquiries and pencil bookings for prospective hires.
Prepare and execute Venue Hire and Ticketing Agreements.
Maintain accurate information in Q’s booking calendar.
Oversee handover into ticketing and on-sale processes.
Manage financial settlement for completed bookings.
Cross-Team Collaboration
Work closely with all internal departments to support timely event delivery.
Assist the Programme Manager with business cases, budgeting, and identifying risks and opportunities.
Support Q’s marketing team with audience targeting and promotional opportunities.
Assist the wider admin team as needed.
Relationship Management
Build strong relationships with incoming clients.
Facilitate communication between clients and internal teams, ensuring needs are met to a high standard and within deadlines.
Balance competing demands with tact and a calm, methodical approach.
Required:
3+ years’ experience in an arts organisation.
Experience in contract management or account management in the performing arts sector.
Knowledge of cultural diversity across a wide range of contexts.
Understanding of the arts landscape in Tāmaki Makaurau.
Proficiency in Microsoft Excel, Word, and general IT systems.
Desirable:
Experience with venue management software.
Confidence working with people at all levels across the arts sector.
Strong industry networks.
Budgeting experience.
Relevant tertiary or professional qualification.
Due to the nature of the industry, some evening and weekend work will be required.
