About NZDC
The New Zealand Dance Company is a crusade for dance with a vision to create sustainable, high-calibre dance productions and is dedicated to NZ’s finest contemporary dance practitioners. We work collaboratively with NZ and International choreographers, composers, musicians and designers to make world class dance productions. As part of NZDC’s Youth and Community Engagement Programme, we visit schools across the nation to deliver performances and professional workshops that enable young people who would not normally have access to professional dance performances.
BOOKKEEPER RESPONSIBILITIES
Transactional Processing
· Accounts Payable - Manage weekly invoicing and payments (suppliers, contractors, per diems, expenses) in Xero
· Make batch payments online
· Reconcile bank accounts in Xero
· Reconcile credit card accounts in Xero
· Ensure invoices are correctly coded to projects and GL accounts
· Accounts Receivable – raise sales invoices as requested by the Team
· Review debtors monthly and chase old debts
· Prepare fortnightly and monthly payroll
· Prepare GST returns bi-monthly and submit to IRD
· Prepare monthly PAYE returns and submit to IRD
Financial Accounting and Management
· Prepare monthly balance sheet reconciliations
· Ensure accuracy of financial data/coding in Xero
· Maintain Xero chart of accounts
· Prepare monthly journals
· Prepare Monthly management reports and explain variances to budget
· Prepare monthly Board reports and explain variances
· Prepare monthly cashflow forecast with explanations
· Prepare P&L by projects for review by team
· Prepare reconciliation reports and back up to Funders
· Maintain fixed asset register
Online Bank Accounts
· Ensure bank account has adequate funds at all times to cover payments
· Manage user rights to the Company bank accounts and assist with adding new signatories or removing signatories
Budgeting
· Prepare project budgets and total company budgets
· Ensure accurate mapping of budgets to Xero GL codes
· Upload budgets into Xero
Annual Audit
· Complete financial statements (Performance Report) as at 31 December each year
· Ensure all reconciliations and back up for the year end audit are complete
· Assist auditors with queries
Charities Services
· Annual submission of the Performance Report and Company information/statistics
· Update Board/Trustee Membership on Charities Services website
HR Management
· Update and file all Staff Contracts and Records i.e Holidays, Sick Leave, Time in Lieu
· Track staff annual leave and provide monthly leave report to Management
Creative New Zealand (CNZ) Reporting
· Prepare and enter financial data, quarterly and annually in the CNZ online system
